Cat n File

No, I don’t do copy and paste. I find it more satisfying writing my own thoughts on things. Still credit is given to the original author.

Basically there are 3 strategies on how to handle your papers.
1) Strategy One – Single Handle Your Paper

  • This is like you have those In and Out tray in your desk. All your files should be categorized in those two. Never put anything outside the tray or … die! 🙂

2) Strategy Two – Use The TRAF System

  • This system was developed by time-management consultant, Stephanie Winston. Basically you decide what to do with your files. However the choice is limited to these four
  • Toss – If it can be dispensed, toss it into the bin. If it’s not…
  • Refer – Can someone else handle it? if yes, delegate to them. If only you can act on it…
  • Act – Why wait? Act on it already. Nobody else will do it.
  • File – Once done, file it for your future reference. Hey at least that’s a record of you doing your work

3) Strategy Three – My Strategy

I however prefer to have a very clean desk. If you have the chance to check my desk you will see that everything has its place. I will notice it even if a red pen lost. That is my interpretation of 5S (which will be explained later). So my paper / work management is basically, trying to get my desk cleared every day. Not exactly new right, but it works for me. 🙂

————— Personal Note ——————-
This is my new column where I will briefly introduce myself to you. As you can obviously see,
I love writing. Not exactly related in my work as I am currently working as an Assistant Manager for a Palm Oil Mill. Today, two of my boiler tube broken in half. 🙂

Pareto

No, he’s not my uncle. Maybe somebody’s. Anyway he is not that important actually, but his idea is. Click For more info on Pareto’s Principle.

Bear with me for a while, according to him – 80% of all output comes from 20% of input.A few examples will describe the principle better. So what Uncle Pareto said is that –

  • In 100 workers, only 20 workers are the good ones. If the other 80 didn’t come to work, 80% of the work for the day will still be finished regardless.
  • In 100 tasks given by the boss everyday, only 20 is important and if you can finish these, basically 80% of your work for the day is done. The boss will be happy already. Keep it up and you will start giving task being the boss yourself.
  • In business, 80% of your profit comes from 20% of your client. If you fail to recognize these client and get business from them, your company is already losing money.
  • In 100 blogs, only 20 will benefit you. (*wink)

To sum up, in what ever things in life (friends, work, business), before you do anything, identify the key 20% and concentrate on these first. basically you have already achieve 80% of what you want. If not –

  • The workers may not be appreciated rightfully and leave the company to work in another. Company’s loss.
  • You may be so busy doing the small daily routine task, high profile projects are given to somebody else. He will get promoted someday and you are still doing the same small daily routine task.
  • Being greedy to get business from all available client, you accidentally neglected the important ones. Feeling ignored they awarded their RM1 Million tender to other contractor instead of to you.
  • You spend your day giving feedback on blog about dying ants, color of houses etc, some blog which may actually benefit you were left dry. The author, thinking nobody is interested, then decided to give it up. (*wink)

We just can’t have everything now, don’t you think so?

Looking down at that spare tyre of ours, we may be immediately regretting ever looking down. Then we start gathering out inner strength and announce the 1 month program to get back in shape. YES!!! MALAYSIA BOLEH!!!

Wait a minute! Before all that you need to know these facts. Then you might not be just wasting your time.

1) Minimum time is 30 minutes. If you want to jog, do it at least 30 minutes and above. This is because your body start burning fat ONLY after the first 20 minutes. If you stop before, you were only just strengthening your muscle and no weight loss what so ever. (of course.. it depends on the intensity of your jogging)

2) The Illusion period. The first two weeks of your committed exercise program, you will see a decrease of a few kg immediately. Don’t be too happy just yet, that is just water loss from your body. Keep drinking water to flush all the toxin out.

3) The REAL weight loss. After the two weeks, your body will adapt and any loss is most probably due to your fat loss. Congratulation! keep yourself motivated for there is Fact no. 4 🙂

4) The No Effect Period. Around week 3 and 4, you will see that there is no weight loss at all, even some weight gain. You follow your routine like crazy, even do extra exercise with higher intensity but still you are gaining more weight each day. Don’t be alarmed. For your information, that is your muscle developing. Muscle is always heavier than fat. And thus the weight gain. Just follow your routine and you will see the result in another 2 to 3 weeks.

5) Our body is SUPER Adaptive. Remember that. You started jogging at maybe 3km for 30 minutes. You will returned home feeling like dying (Ehem my experience ya).

In no time, you will feel the work getting easier each day. This is because of your body is already adapted. Increase intensity with more speed and distance. Rule of thumb, if you exercised and you don’t feel anything. Something’s wrong

5 facts for now, oh ya I have to put the Disclaimer – Results will vary with individuals.
